Structure of the web site

Top Level View

The structure of the web site is kept very simple. From the main page there are links to personal pages to all team members, technical writers and mentors (optional).

In making the web pages, unnecessary nesting is avoided to make the information easily accessible yet organized. Each web page is divided into main subsections. These subsections are accessible through hyperlinks on the top of the page. Each page has got last update stamp that the page owner has to keep updated. Some sections also have last update

 

All the document links also have data associated with them. While updating the link or the document that date has to be changed.

Directory Architecture

The directory architecture on the web server is as following:

 

It is recommended that, for Gryphon product related files, the directory structure in VSS to be followed to avoid two separate directory structures.

 

All the files that are not in VSS and are added by individual users themselves (graphics, un-versioned documents etc.) should be placed in the corresponding user directory under the personal directory


Maintenance

Version Control

Web site will not be placed under version control to minimize overhead. All the changes are made directly to the original files. If someone likes to place his/her web pages under version control he/she can do that but maintaining that would be his/her own responsibility. General templates of each page and the help page could be place under visual sources safe but not necessarily under CM.

Role Assignment

Webmaster

Each semester one person has to be assigned as the web master. Considering the current role assignment of TSP the role that suits most for being web master is either process manager or support manager. Web master has following duties

As each week the minute taker sends the action items the web master has to do following

 

All Team Members

Every team member would need to do some tasks to keep their web pages updated. These tasks are discussed briefly below.

Updating web pages

Updating individual web pages is extremely easy. It is just as editing a word document. Just open your individual file from the www\Gryphon\Personal\Your_Name directory and edit it’s contents. On saving the changes the contents would be updated automatically.

Adding a new link

For document links If the document is under CM then make sure that the document is present in the same directory structure under www\Gryphon directory. If the document is not in VSS and it is your personal document then copy the document to www\Gryphon\personal\Your_Name directory.

 

To add a link to that document

 

Important: If you add a link to a document under CM then make sure that you update the document in www directory when changes are made to it in VSS. It would be nice to have all the documents present in the Gryphon directory to avoid the confusion.

Removing a section

If you want to remove a section make sure that you update the Index of the page and last updated field of the page.

Reporting weekly status

Everyone has to update his weekly status by the time it is due to the planning manager. To report weekly status:

Just open your individual file and edit the task table, as you wish. Don’t forget to update the last update field of the section and the page.
